Important Information for noting

Advertising (PA SYSTEM): A public address system will be operating during the day and you may purchase a 75 word add through your Trade Application. This must be forwarded through to the secretary by 1st October. A guaranteed three adds per day will take place. EMAIL SECRETARY

AIRSTRIP: The Esperance Airstrip is located 22 kilometres from Esperance. REX AIRLINES flies in and out three times per day week day, twice on a Saturday and once on Sundays. Allocation of Sites: To ensure the quality and standard of the Esperance and Districts Agricultural Show, the committee reserves the right to accept or reject any application. Sites are allocated by a 'first in, best dressed' process with preference given to those who support the show annually and  to the early bird applications.

AWARDS FOR EXHIBITORS: The BOB STEAD MEMORIAL TROPHY consists of Best Outdoor Trade Exhibit of 30m and over, Best Outdoor Trade Exhibit under 30 and Best Indoor Trade Exhibit. These are judged on Friday with presentations made Friday afternoon.

CAMPING FOR EXHIBITORS: Although there are showers and toilets available, spaces for camping is limited to six camp sites. Please contact the SECRETARY to book.

DANGER AND DAMAGE TO SITES: Exhibitors are responsible for their site and any damage must be reported to the Groundsman. Exhibitors are responsible for any damage to their site, including water pipes, reticulations, floors and electric cables. Please contact the secretary. 0890 712 598.

DISPLAYS: The Esperance and Districts Agricultural Show is open from 9am on Thursday before the show for set up until 9pm. Friday morning all vehicles must be in designated parking area at 8:00am. All displays must be open for business during the opening hours of 9am Friday morning until 7pm Friday evening and 9am Saturday morning, until 4pm. Demobilisation of sites before 4pm Saturday is prohibited as is any movement of vehicles.

ELECTRICITY:  Electricity is available at sites which has been requested and paid for at the time of application.Exhibitors must supply their own TAGGED power boards and extension leads. EDAS is not responsible for any damage to electrical equipment caused by fluctuating power or overloads.

EXHIBITOR ENTRY PASSES:  Site fees include a number of allocated two day passes. Additional passes may be purchased through your site application. Please ensure that passes are issued to your staff attending the show. NO PASS ENTRY, NO ENTRY. No refunds for passes. 

FOOD SAFETY REQUIREMENTS: All food and drink vendors are required to meet local government health regulations and provide a certificate of currency for their public liability insurance.

FORKLIFTS: are not available for hire. Other arrangements must be made if your site requires large items lifted.

OFFICE OPENING HOURS: The EDAS office staff work on a part time basis. The office is open every Wednesday morning from 9am until 12 noon. From the  1st October the office will be open Monday to Friday from 9am until 4:30pm until the show. Our office is situated on the Greater Sports ground next to the Graham McKenzie Stadium. OFFICE SERVICES: Photocopying services can be provided at .20c per sheet. Please note that the office is unable to change cash. CBA, ANZ, NAB, Westpac and Bankwest banks are available in the town centre. 

PUBLIC LIABILITY INSURANCE FOR EXHIBITORS: Exhibitors are required to have their own Public Liability cover, covering them against any accident which happens due to their activities or the activities of a person for who they're responsible for. Applications will not be able to be accepted or processed without a Certificate of Currency being uploaded with the application.

SECURITY: Security guards are in place during these times:

Thursday 17th October 2023 from 1800 hours until Friday 0700 hours

Friday 18th October 2023 from 2200 until Saturday 0700 hours

While security is in place, the Esperance and Districts Agricultural Society will NOT BE held liable for any loss or damage to exhibitors property whilst on the showgrounds.

SHARING OF SITES: The Secretary must be informed of any site sharing and a note of this must be included in the application form. Public Liability must be provided for both businesses on the same site.

SPONSORSHIP: EDAS is grateful for all sponsors contributions and are always keen to create partnerships between EDAS and any other businesses who would like to sponsor the show. Please contact the SECRETARY if you'd like to be involved.

SUNDOWNERS: Applications for SUNDOWNERS are restricted. Sundowners may only run from 4:30pm until 6pm. Failure to comply will result in future applications are NOT accepted. 

TRAFFIC ON GROUNDS: Please be aware that for safety reasons, vehicles CAN NOT be driven on the show grounds during the operational times of the show. EDAS requests that your vehicles are parked in the dedicated parking areas by 8:00am on the Friday and Saturday. They can not move until after 7pm Friday night and 4pm on Saturday. EDAS accepts no responsibility should an accident occur between a vehicle and/or patron/exhibitor.

VEHICLE PASSES AND PARKING: An allocation of vehicle passes are included in the site application enabling exhibitors to access their site for loading and unloading and for parking in the designated exhibitor's car park. Passes must be displayed on the dashboard to gain access to the show grounds. NO PASS, NO ENTRY and passes are not redeemable for cash.
